Operations Coordinator

Summary

Florence Crittenton Family Services (FCFS) is seeking a dedicated and organized Operations Coordinator to join our team. This role is crucial in ensuring the smooth operation of our facilities and supporting the technological and supply needs of all departments. The Operations Coordinator will also assist the Director of Operations and Resource Development (DORD) in tracking organization-wide KPI metrics for the balanced scorecard.


Pay, Schedule, and Benefits

  • $20.00-$23.00 per hour, DOE.
  • Schedule: Monday – Friday, 8am-5pm.

Education, Experience, Attributes

Experience and Education:

  • High School Diploma or equivalency required.
  • 1-2 years of proven experience in operations coordination or a similar role.
  • A valid driver’s license, satisfactory background checks, and an annual health statement are required for this position.

ESSENTIAL RESPONSIBILITIES

Building Maintenance Coordination:

  • Oversee day-to-day building maintenance activities utilizing maintenance software.
  • Coordinate with maintenance contractors to ensure timely and effective repairs and upkeep.
  • Monitor and manage maintenance schedules and budgets.
  • Maintain Emergency Preparedness Plan.
 

Technology and Supplies Facilitation:

  • Serve as the primary point of contact for all departments regarding technology needs and supplies.
  • Ensure timely procurement and distribution of necessary technology and supplies.
  • Troubleshoot and resolve basic technology issues or coordinate with IT support as needed.
  • Review all monthly reports from IT Support Contractor and report deficiencies to the DORD.
  • Maintain inventory of all technology assets work with DORD and IT Contractor on lifecycle management plan.
  • Assist DORD with asset depreciation.
 

Program Management Coordination:

  • Meet with Program Managers and Finance to document needs of all programs, including management of all In-Kind donations.
  • Work with DORD and Finance to develop and execute plans to satisfy requests.
  • Oversee inventory management in coordination with the Program teams.
 

Volunteer Management:

  • Backup scheduler to residential program for volunteer coordination.
  • Manage all volunteer information, including coordinating background check and paperwork logistics for new volunteers.
  • Coordinate and manage all volunteers that work with Events and Non-Residential needs.
 

KPI Metrics Tracking:

  • Assist the Director of Operations and Resource Development in tracking and analyzing organization-wide KPI metrics.
  • Contribute to the preparation and maintenance of the balanced scorecard.
  • Provide regular updates and reports on KPI performance.

While performing the duties associated with this job, the staff must be able to:

  • exert up to 30 pounds of force to lift, carry, push, pull or otherwise move objects, including the human body,
  • remain in a stationary position (sit, stand, etc.) for extended periods of time,
  • position self (stoop, kneel, crouch, crawl, reach, climb, balance, etc.) for extended periods of time,
  • identify, recognize, react, and respond to all emergencies,
  • and perform repetitive motions of wrists, hands and/or fingers.
